Waiver / Media Release, Behavior Policy & Refunds.

Liability Waiver & Media Release From 

By participating, or allowing your child to participate, you agree to the following terms:

  • Waiver of Liability: You agree to hold The Recreation Academy, its staff, volunteers, representatives, community partners, and all other agents harmless in the event of any injury to your child/participant during their participation in our programs. This agreement applies regardless of whether you have signed any type of physical or digital form. It is our responsibility to disclose this information when we're taking registrations and our partner organization's responsibility when they're doing so. These are our basic terms of service, and participation is contingent upon your agreement.

  • Assumption of Risk: You acknowledge and assume all risks associated with the activities, including the risk of injury, and voluntarily assume all such risks on behalf of your child.

  • Safety and Responsibility: While our instructors strive to provide a safe and nurturing environment, absolute safety cannot be guaranteed. It is your responsibility to ensure that you and your child understand the importance of listening to staff, following all program rules, and asking for help when needed.

  • Medical Assistance: In the event that your child requires medical assistance, and you cannot be reached, or if it is a life-threatening situation, you authorize The Recreation Academy staff to render aid at their discretion. You agree to be responsible for any costs incurred.

  • Active Participation: You acknowledge that our programs are active in nature and agree that The Recreation Academy is not liable for any injuries that may occur. By agreeing to these terms, you relinquish your right to pursue damages associated with any injury your child may sustain.

  • Indemnity Clause: You agree to indemnify and hold harmless The Recreation Academy, its staff, volunteers, and agents from any claims, demands, or causes of action arising out of or in connection with your child’s participation in the activities.

  • Use of Likeness: By participating, you grant The Recreation Academy LLC the right to use your child’s image and likeness for promotional purposes, including but not limited to social media posts, sales materials, and email marketing campaigns.

  • Severability Clause: If any provision of this waiver is found to be unenforceable, the remaining provisions will remain in full force and effect.

  • Acknowledgment of Understanding: You have read this waiver, fully understand its terms, and agree to it freely and voluntarily without any inducement.

Important Notice: This waiver is available online, and it is your responsibility to review it and ask any questions before participating. By participating, you confirm that you have reviewed and understood this waiver.

Participant Behavior Policy 

At The Recreation Academy, we are dedicated to creating a safe, respectful, and enjoyable environment for all participants. To ensure this, we have established the following behavior guidelines:​

  1. Respect for Others: Participants are expected to treat fellow participants, staff, and property with respect at all times. Bullying, harassment, or any form of disrespectful behavior will not be tolerated.

  2. Safety First: Participants must follow all safety instructions and guidelines provided by our staff. This includes using equipment properly and adhering to the rules of the program.

  3. Positive Participation: We encourage all participants to engage positively in activities. Disruptive behavior that hinders the experience of others will be addressed promptly.

  4. Consequences for Misbehavior: If a participant’s behavior is deemed inappropriate or unsafe, our staff will take appropriate action, which may include dismissal for the day, the next day’s session, or, if necessary, for the remainder of the program.

How Our Programs Are Structured

We aim to keep all participants active, engaged, and having fun while they’re with us! This means frequently changing activities to accommodate the average attention span, introducing new variations of classic games, and providing new activities. Our staff is trained to guide participants during teachable moments. Our goal is to create an environment where everyone wants to participate, learn, and grow together. The topics we cover often depend on the group’s needs and may include communication, valuing others’ perspectives, listening to instructions, and other valuable social skills. Just by participating, your child will be learning.

Addressing Behavior Concerns

Our staff is committed to guiding participants through behavior-related challenges. We recognize that making mistakes is a natural part of growing up and learning. Using effective redirecting tools, de-escalation techniques, and thoughtful debriefing methods, we actively work towards resolving any issues that may arise. However, if our attempts to address the issue(s) are not successful, we may need to take further action. Depending on the severity of the situation, participants may be dismissed for the day, the next day’s session, or, if necessary, for the remainder of the program.

We want to emphasize that this approach stands in direct contrast to our overarching goal. We firmly believe that making mistakes and learning from them is an integral part of personal growth. Nevertheless, there are instances where the lesson to be learned lies beyond our ability or scope. We sincerely hope you understand our commitment to maintaining a positive and constructive environment for all participants. By addressing behavior concerns proactively, we aim to foster personal development and create valuable learning experiences.

Please note that:​

  • We do not give refunds for dismissal due to poor participant behavior.

  • All of our programs have prerequisites for participating. Click the welcome packet above!

  • Our staff are trained to stay with their group in the event that a participant chooses to run off or leave the group.

  • We are not a babysitting service; we are an educational enrichment program that it is a privilege to attend.

Refund Policy 

We are committed to providing exceptional programs and experiences for all of our participants. Our Refund Policy outlines the terms and conditions for refunds on our services, including after-school clubs, sports clinics, summer camps, birthday parties, and mobile field trips. Please note that each type of program requires a minimum nonrefundable deposit:

  • After-School Clubs: $15 per participant

  • Sports Clinics: $15 per participant

  • Summer Camps: $25 for half-day programs and $35 for full-day programs, per participant

  • Birthday Parties: $100 per event date

  • Mobile Field Trips: $100 per event date

These nonrefundable deposits are necessary because we make commitments to our staff, purchase equipment, and secure venues in advance to ensure the highest quality experience for all of our participants.

Refunds will be accepted under the following conditions:

  • 30+ days in advance: 100% refund minus the nonrefundable deposit.

  • 15-30 days in advance: 50% refund.

  • 14 days or less: At this point we're only able to transfer a registration to another week or provide a 50% credit towards a future program with us. If the registrations are being handled by one of our partner organizations, you must adhere to their refund policy unless otherwise instructed. 

If you have any issues with our programs, please reach out to us, and we will work to find a reasonable resolution. However, we do not provide refunds for participants excused for poor behavior. Additionally, our staff reserves the right to refuse a refund if we are not notified of an issue with a program’s quality, instructor, or other concerns, or if your communication is hostile or aggressive.
